# Capital call notices: catching every one, across every trust and LLC

Capital call tracking means logging every notice a fund manager sends, the entity it is addressed to, the amount and due date, and the effect on your remaining unfunded commitment, then making sure the right wire goes out on time. For a family office the difficulty is volume and spread: commitments sit in several trusts and LLCs, notices arrive by email and portal to different people, and each one asks you to move money. AI can read and log every notice, while a person keeps the approval of each wire.

## What a capital call is

When the family commits to a private equity, venture, credit or real estate fund, it agrees to provide capital up to a set amount. The fund manager (the GP) draws that money down over time as it makes investments and pays fees, by sending each limited partner a capital call notice. The partnership agreement (the LPA) sets the terms, including how much notice you get.

The Institutional Limited Partners Association (ILPA) publishes best practices for these notices. ILPA describes the notice as the limited partner's basis "for carrying out its initial monitoring and fiduciary reporting duties." Its guidelines ask GPs to include, in every notice:

- LP-level and fund-level balances before and after the call: unfunded commitment, cumulative contributions and cumulative distributions
- an itemized list of the investments the call funds, with amounts
- management fee details, including calculations and offsets
- references to the relevant sections of the LPA
- detailed payment instructions, such as bank information and contacts
- a due date (or settlement date)

ILPA released an updated Capital Call and Distribution Template in 2025, which adds a standalone LP unfunded commitment section. ILPA says funds launched on or after Q1 2027 should use it, or from Q1 2026 for funds that adopt its new performance template. Until your funds adopt it, expect notices in each manager's own format.

## Why family offices miss capital calls

The 2026 RBC and Campden Wealth North America Family Office Report found that 86% of family offices invest in private markets, with direct investments averaging 45% of the private markets book and funds 36%. Every fund commitment produces its own stream of notices.

The usual points of failure:

| Where it breaks | What happens |
|---|---|
| Notices go to an old address | A fund administrator still emails the person who signed the subscription documents years ago |
| Portal-only notices | The notice sits in a fund portal, and the email alert lands in a folder nobody watches |
| Several entities in one fund | Two trusts each hold an interest, and the team pays one and misses the other |
| Short due dates around holidays | A notice arrives on a Friday before a long weekend |
| Unfunded commitments drift | The tracker isn't updated, so the family's liquidity plan understates what is still owed |
| A distribution nets against a call | The amounts don't match the expected wire, and someone has to work out why |

Liquidity planning depends on getting this right. RBC and Campden found that liquidity was a common theme for families, who cited the importance of ample reserves to meet cash needs. An accurate unfunded commitment figure, entity by entity, is the input that planning needs.

## Wire fraud and changed payment instructions

A capital call is a request to wire money, which makes it a target. The FBI's Internet Crime Complaint Center reported $3,046,598,558 in losses to business email compromise in 2025. The FBI defines the scheme as targeting businesses or individuals who regularly perform wire transfers, using compromised email accounts, phone numbers and virtual meeting apps to conduct unauthorized transfers of funds.

A fake capital call, or a real one with altered bank details, fits that pattern. Two rules protect the office:

- **Compare every set of wire instructions with the ones on file for that fund.** Any change gets confirmed by phone, using a number from your own records, never one from the notice.
- **Separate the person who logs the call from the person who releases the wire.** No single message, email or voice can move money on its own.

Our guide to [deepfake wire fraud at family offices](/blog/deepfake-wire-fraud-family-offices/) covers voice and video impersonation in more depth.

## A capital call tracker that holds up

Many offices run a capital call tracker in Excel. Search for capital call management software and most results are built for the fund side, the GP and its administrator, so offices often build the LP-side tracker themselves. Some family office systems now cover it: Masttro, for example, lists automated document processing, capital calls and reconciliation among its features. Whatever you use, track these fields for every notice:

| Field | Why it matters |
|---|---|
| Fund and receiving entity | The same fund may have several family investors |
| Notice date and due date | Sets the deadline for funding |
| Amount, split into investments, fees and expenses | Lets you check the call against the LPA |
| Unfunded commitment before and after | Feeds the liquidity plan and the consolidated report |
| Wire instructions, and whether they match the file | Your first fraud check |
| Funding account and approver | Shows who released the money |
| Wire confirmation | Closes the loop with the fund |

## Where AI fits, and where a person stays

Citi Institute's May 2026 report on AI in the family office notes that offices must be mindful of risks in treasury and finance functions, given fraud and cyber threats, and that final decisions stay with experienced people. The split for capital calls follows from that.

**AI can:**
- read every inbox and portal alert, and recognize a capital call or distribution notice
- extract the fund, entity, amount, breakdown and due date, citing the notice page for each
- update the unfunded commitment and flag any figure that disagrees with the GP's own balance
- compare the wire instructions with the ones on file and flag any change
- draft the funding request for the approver, with the notice attached

**A person keeps:**
- approval of every wire
- the phone call that confirms changed bank details
- decisions about which account funds the call

Capital calls connect to the rest of the office calendar. The same funds send K-1s in tax season ([K-1 tracking across entities](/blog/k-1-tracking-across-entities/)) and quarterly statements for [consolidated reporting](/blog/family-office-consolidated-reporting/).

## Private SuperIntelligence for capital calls

Private SuperIntelligence from Mitosis Labs is an AI concierge for family offices, enterprises and private clients: the most capable AI, trusted with everything. It works across the office's own email, documents and data, answers with citations, and acts on your behalf within permissions you set, so it can log every notice and prepare each funding request while the release of money stays with your team. The provider keeps no copy of the work and trains nothing on it. See [AI for family offices](/family-offices/).

## Frequently asked questions

### What is a capital call?

A capital call is a fund manager's request for part of the money a limited partner has committed to the fund. The manager sends a notice with the amount, the purpose and a due date, under terms set in the partnership agreement.

### What should a capital call notice include?

ILPA's best practices ask for balances before and after the call (unfunded commitment, cumulative contributions and distributions), an itemized breakdown, fee details, LPA references, payment instructions and a due date.

### Can I track capital calls in Excel?

Yes, and many offices do. The risk is keeping it current across several entities and inboxes, which is where missed notices and wrong unfunded figures come from.

### How do I protect capital call wires from fraud?

Compare wire instructions with the ones on file for each fund, confirm any change by phone using a number from your own records, and require a second person to release the wire. The FBI reported over $3 billion in business email compromise losses in 2025.

### Should AI approve capital call wires?

No. AI can log notices, check figures and draft the funding request, but a person should approve every wire and confirm any change in payment instructions.
